Position: Medical Virtual Assistant

Working Hours: Monday to Friday, 7:30AM - 5PM PST (break will be 1 hour lunch with 2 paid fifteen-minute breaks; lunch: 1pm-2pm; fifteen-minute breaks: 10:45am & 3:15pm)

Salary Range: 800 - 1200 USD

About the job:

We are seeking a highly motivated and skilled Medical Virtual Assistant/Inbound Call Receptionist to join our call center team. As a member of our team, you will be responsible for answering and directing incoming calls for our Plastic Surgery Center, Medical Spa, and Dermatology clinic. You will be the first point of contact for our patients, and your professionalism and pleasant demeanor will set the tone for our relationship with them.

In this role, you will be responsible for efficiently and professionally managing and responding to incoming client inquiries via phone and email, scheduling appointments, entering patient data, taking payment information, and providing administrative support to physicians and other departments within the practice.

You will play a pivotal role in ensuring client information and insurance information is correctly updated and current on our electronic medical record system.

The ideal candidate for this role should have excellent communication skills and a professional demeanor, be fluent in the English language, and be comfortable using electronic medical record software. You will need to be detail-oriented with the ability to multitask and remain organized in a fast-paced environment.


Duties and Responsibilities:

  • Answer and direct incoming calls for our three departments
  • Entering patient data and new patient information to create a chart in our Nextech system
  • Collecting insurance information and entering in to our system patient chart
  • Collecting patient card information to hold appointments in our schedule
  • Provide excellent customer service to all patients and callers
  • Schedule appointments and follow up with patients as needed
  • Communicate effectively with physicians, nurses, and other staff members as necessary
  • Process referrals and other administrative tasks as assigned



  • At least 1 year of prior experience in a medical practice *required
  • Must have access to Nextech and be trained for specific features related to this role.
  • Must have prior experience using EMR (Electronic Medical Record) systems
  • Comfortable with using electronic medical record software and a quick learner.
  • Call forwarding and outgoing call placement required.
  • Must be a fluent English speaker with a professional tone.
  • Ability to multitask, remain organized, and manage a high volume of calls and emails.
  • Excellent communication and interpersonal skills.
  • HIPAA compliance and security protocols are strictly enforced.
  • Strong internet speed required
  • Reliable phone system compatible with our system
