Property Management Admin Support - Part - Time

  • Providing a support function to the business owner on business-as-usual operation
  1. Contact setup including full name/ email address / and phone number.
  2. Appointment setup in calendar in outlook / zoom meeting.
  3. Purchase receipts management via emails and supplier website (Bunnings/Tradelink).
  4. Payment confirmation to suppliers and trades
  5. Upload invoices to Xero accounting software

  • Managing ongoing property related tasks:
  1. For 5-7 houses, reviewing rental statements in PDF received by email every fortnight.
  2. Emails filing management
  3. Summarize key dates such as maintenance tasks and insurance into excel and calendar
  4. For 1-2 holiday homes, assist with scheduling cleaning sessions at departure
  5. Schedule other maintenance such as lawn and pool maintenance

 

  • Assisting PDF filing for past renovation projects
  • Assisting with 2 renovation projects (at 70% completion)
  1. Purchase receipts management
  2. Schedule Trade appointments and confirming trade appointment
  3. Advanced -product research and set up trade account
  4. Advanced – create property page to showcase renovation

 

  • Managing Travel schedules
  1. Receiving flight / accommodation / car schedules to update in calendar.
  2. Check-in flight online one day prior to the trip
  • 1-2 years experience in the Australian market is an advantage
  • Experience in working with Xero or another Australian accounting software would be an advantage.
  • Experience with Microsoft Office programs (Outlook, Word, Excel & SharePoint)
  • Strong problem solving, and mathematical skills are required. Think outside the box and a strong desire to solving problem is required for this position.
  • Strong communication skills (verbal and written) is required. You will be required to deal with clients via email.
  • Honest, reliable, and hardworking is essential.
  • Willing to work on a Part-Time arrangement - 7 hours per week/ 28 hours per month
