MySigrid is looking for a dynamic and self-motivated Virtual Assistant to join our team. This individual must ensure that all stated, unstated, and anticipated needs of the clients are cared for and actioned with the highest quality, regardless of who worked on the task. You will be responsible for managing the client and their expectations, managing usage and available resources, and promoting the values of MySigrid.

We use MySigrid, our proprietary Collaboration & Task Management Platform, to solve tasks efficiently and collectively - improving quality, reducing human error, and increasing speed. MySigrid is a ‘state-of-the-art’ technology platform designed to optimize the work processes of our Executive Assistants, allowing them to deliver world-class remote support to multiple clients, as well as giving them the flexibility to configure an optimal work/life balance.

YOUR ROLE AS VIRTUAL ASSISTANT

  • Efficiently handle calendar organization, event registrations, and restaurant reservations.
  • Coordinate networking plans, facilitate communication, and conduct comprehensive agent research.
  • Manage communication channels and scheduling activities, ensuring optimal time management by exercising judgment to make necessary adjustments.
  • Participate in calls, craft concise recap emails outlining next steps, and delegate tasks as required.
  • Actively engage in webinars, capturing essential notes for future reference.
  • Conduct thorough audits of files, ensuring accurate contact information, consistent document naming, and completeness.
  • Prepare meticulous meeting materials and necessary follow-up documents for seamless post-meeting actions.
  • Confirm upcoming day's meetings, ensuring preparedness and timeliness.
  • Diligently maintain and organize client-related notes in spreadsheets for efficient access and reference.
  • Facilitate bookings for inspections and vendors, ensuring smooth operations.
  • Coordinate and schedule showings and tours efficiently.
  • Manage and organize travel logistics effectively.
  • Oversee and drive the development of special projects as assigned.
  • Monitor and promptly respond to phone lines predominantly via text for efficient communication.

As a minimum, we expect candidates to meet the following requirements:

  • Demonstrate robust organizational, project management, and problem-solving prowess coupled with exceptional multitasking abilities.
  • Proactively anticipate requirements and address them effectively.
  • Exhibit outstanding oral and written communication proficiency.
  • Skillfully research, organize and synthesize information and materials from diverse sources.
  • Showcase proficiency in utilizing G Suite applications effectively.
  • Excel in meeting project deadlines while adeptly managing immediate demands.
  • Apply critical thinking skills to propel project progression and success.
  • Showcase the ability to take ownership of your role and responsibilities with minimal supervision.

Co-Working days

MySigrid has co-working offices in BGC, Ortigas, and Makati where the whole team meets twice a month at a minimum.
