Role Overview
The Administrative Manager is responsible for office administration functions. She provides analysis, guidance, and supervision of all administrative personnel. She acts independently or assists in the performance of any and all duties necessary to ensure that all are in compliance and project support service functions are performed in a timely and efficient manner.
Key responsibilities will include but are not limited to:
- Project management of building maintenance, building works and improvements. Including management of external contactors to ensure an on time, on budget result whilst maintaining clear communication with the external contactors and internal stakeholders
- Manages the Liaising with other government agencies, offices, organizations, and groups, including Bureau of Immigration and Civil Aviation Authority of the Philippines
- Approves Incoming and Outgoing shipment for the Bureau of Customs and ensure timely manner of process including ensuring custom clearances
- Analyze and certify documents needed by the Bureau of Immigration requirements
- Liaise with other government and local agencies and or organizations
- Supervising office staff specifically the IT and System side of the company and anything related to Liaison and Bldg. Admin concerns including managing the Outsourced partners the Security Housekeeping providers.
- Coordinates and work with the Customer Service Department in cascading any Admin related information to client and students.
- Maintaining and Designing filing systems including ensuring protection and security of files and records
- Transferring and disposing of records according to retention schedules and policies
- Planning and implementing office systems, layout and equipment procurement
- Books and finalize all Hotel /Accommodation reservation for employees on scheduled sessions.
To be considered for this role, you will need the following:
- Requires 2- 3 years of experience supporting administrative or project management.
- Bachelor’s degree (or equivalent work experience)
- Microsoft Office skills (Outlook, Word, Excel, and PowerPoint) required.
- Experience working independently and without supervision.
- Previous experience in Airline/ATO training will be advantage.
