Key Responsibilities:
To provide executive secretarial and administrative support to the Administration Department in order to optimize workflow procedures in the office
Oversees the implementation of the tools for the Administration Department including;
1. Making judgements and recommendations for reconciling potential conflicts in the schedules.
2. Communicating scheduled commitments for Admin-related operational projects, in-house
and external official events/activities
3. Ensuring that, for both internal and external meetings, the necessary preparatory briefing
material is received in a timely manner.
Prepares Admin official brief’s and requests and collates gathered details for actions needed to be accomplished.
Communicates and liaises with both internal and external customers.
Organize internal meetings for the Admin Department by way of;
1. Booking a room via the Hoteling App
2. Sending internal communications well in advance
3. Sending out agendas, and minutes of the meeting
4. Maintaining an Admin calendar and schedule of weekly huddle, quarterly meetings, Team
Building, Team Planning and year end closing review.
Manage inventory tracking for deliveries, distribution and replenishment of supplies and place orders.
Handling of PR preparation for Admin requirements.
Maintain and update Admin databases.
Organize a filing system for important and confidential documents.
Update work and office policies as needed
Prepare reports and presentations with statistical data, as assigned.
Accomplish other duties that may be assigned from time to time
Qualification Requirements:
Preferably with a College degree
At least 3-5years experience in a similar capacity
