Position: HR Specialist
Working Hours: Monday -Friday 8:00 AM-5:30 PM CST| 11:00 PM - 5:30 AM Philippine Standard Time
Salary Range: 800-1500 USD/Month
Job Summary
Assists in the facilitation and administration of all aspects of HR functions to maximize the strategic use of human resources and maintain functions such as employee compensation, benefits, recruitment, hiring, personnel policies, and regulatory compliance.
Duties and essential job functions
- Assists with communicating company policies & procedures.
- Assists with monitoring employee relations issues to ensure consistent application of policies in compliance with legal requirements & company practice.
- Assists with communication of employee benefit packages and eligibility. Assist employees in resolving insurance claims issues when necessary.
- Assist with benefit enrollment, audit benefit billing, and assist with benefit issue resolution.
- May assist with compliance with COBRA guidelines by preparing letters and other paperwork as directed and recording COBRA premium payments.
- Maintains personnel files in compliance with applicable legal requirements including I-9 verification and proper separation of medical file materials.
- Assists with monitoring the timely delivery of performance evaluations by monitoring and sending out reminders.
- Provide current and prospective employees with information about policies, job duties, working conditions, wages, and opportunities for promotion and employee benefits.
- Assist with new employee orientation to foster a positive attitude toward organizational objectives.
- Assist with the recruitment and hiring process from start to finish.
- Conduct exit interviews to identify reasons for employee termination/separation.
- Assist with bi-weekly payroll and ensure accuracy in employee pay and required reporting.
- Investigate and report accidents for insurance carriers including workers' compensation claims, OSHA recordable incidents, and auto accidents.
- Keep employee records up to date by processing employee status changes promptly.
- Assist with procedures ensuring compliance with state and federal laws – EEO, FMLA, HIPAA, COBRA, OSHA – and help facilitate all required reporting. Research employment laws and best practices as needed.
- Assist Management and Supervisory staff in carrying out responsibilities by providing administrative and technical support.
- Assist with incoming call overflow and screening of calls.
- Assisting with meeting preparation and event planning (including employee lunches, holiday parties, and other events to promote employee morale).
- May assist in sorting incoming mail and route to appropriate executives and run tape on incoming accounts receivable checks.
- Clerical functions such as scanning, filing, typing, shredding, and word processing.
- Track applications for open positions and send decline or offer communications.
- Assist with contributions to the bi-monthly newsletter.
- Other duties as assigned.
- This position requires regular and reliable attendance.
- A 2-year degree plus 1-2 years of human resources experience or an equivalent combination of education and experience is required.
- Proficiency in MS Office tools, including Word, Excel, and Outlook, is a must.
- A cooperative attitude, proven teamwork skills, excellent communication skills, and interpersonal skills are necessary.
- Strict adherence to confidentiality practices is expected.
- Willingness to help in other areas of any project is a must.
- The ability to relate to individuals at all levels within the organization and be sensitive to both employee and business needs is essential.
